Once you have shown your products to a customer you can quickly and efficiently make a quote for them.
Quotes are created in a contact file.
You can choose an existing contact from your contact list or create a new file for your customer.
Quotes can be created in several ways.
One of the easiest is to drag products from a catalogue to a contact file.
First select products in the catalogue and then drag them to a contact in the list or an open contact window.
This opens the contact file window, creates a new quote and adds the dragged products. Your own print template is chosen to allow you to print or fax the quote straight away.
Once products are in a quote, information such as quantity, price and discount can be edited.
The Sale reminders for each product are shown in the field in the top right of the window.
Clicking on these reminders allows you quickly to add them to the quote.
A profit breakdown is created automatically for a quote.
You can adjust margins and pricing for each entry in the quote.
Costs and finance can also be set.
Other information can be set for the quote in the contact window, such as the quote's name.
The reminder date is set and automatically warns you when this quote is due. The probability of acceptance can be set. This can be used in reports e.g. estimated turnover.
Once a quote is accepted by the customer, it can be converted to an order/invoice with the menu item in the "Quote" menu.
Pricing can not be changed as this is a record of what the customer has accepted.
Back ordered stock can be set by changing quantities.
The invoice can also be printed in the same manner as the quote.
This can then be sent to a customer or exported into your accounting system for further processing.
Other invoice information can be changed in the contact window.
A To Do Memo is created to remind you to send the invoice, or when payment is due.
